Terms and Conditions

Effective October 21, 2026 · Last updated October 26, 2026

The agreement between you and ProProduction when you use the service. Please read it; by creating an account or using ProProduction you agree to it.

The agreement

These terms are an agreement between you and ProProduction (“we”, “us”), for your use of proproduction.app, app.proproduction.app and the tools that connect to them, such as the Camera Agent and crew call sheet links (together, the “service”). Our Privacy Policy explains how we handle information.

If you use ProProduction for a company, school or other organization, you agree to these terms for it and confirm you’re allowed to.

Your account

  • You must be at least 16 to create an account.
  • Give accurate details, keep your sign-in safe, and tell us right away if you think someone else has used your account. You’re responsible for what happens under your account.
  • Crew and cast can open call sheets and check in through links without an account. Whoever sends those links is responsible for sending them to the right people.

Plans, payments and renewals

Plans. Free covers one project of up to 50 shots. Individual, Studio and Organization are paid subscriptions, monthly or yearly. Each is at the price shown on our pricing and in Account → Plan when you buy. Studio and Organization include the number of people shown when you subscribe, and you keep that number and price for as long as the subscription runs; more people can be added at the price shown, up to the limit a plan has (Studio goes up to 10 people). Each plan includes the storage shown in Account → Plan; uploads beyond it are refused until space is freed or the plan is upgraded.

Project passes. Where we offer it, a project pass is a single payment, not a subscription, and gives one project credit. Using a credit gives one project in your own space (not a Studio or Organization’s) the features of Individual for 60 days, with the storage shown when you buy. After that the project is read-only: you can still open it and download it, it isn’t deleted, and another credit adds 60 more days. Unused credits don’t expire. If a payment is refunded or reversed, we may remove the credit it paid for.

Payment. Payments are taken by Stripe. By subscribing, you authorize us to charge your payment method at the start of each billing period until you cancel. Prices don’t include taxes that may apply where you are. Where we have to collect sales tax, VAT or a similar tax, it is added at checkout and shown on your invoice.

Renewal and changes. Subscriptions renew automatically for the same period (a month or a year) at the price then in effect. Before a yearly plan renews, we email you about 30 days ahead with the date and the amount. You can change or cancel online in Account → Plan at any time, and canceling takes effect at the end of the period you’ve paid for. Moving to yearly, or from Studio up to Organization, starts right away, with the unused part of your period taken off. Moving to monthly, to a lower plan or to Free takes effect when the period you’ve paid for ends, and you keep what you paid for until then. A team can only move down from Organization to Studio with 10 people or fewer.

Refunds. Payments are not refunded, including for part of a period, unless the law requires otherwise or we decide to in a particular case.

Price changes. We’ll tell you at least 30 days before a price change applies to your subscription. It takes effect at your first renewal after that notice. If you don’t want to continue, you can cancel before then.

Members of an organization. Members of an organization on the Organization plan may add a personal Individual plan at a member price. If you leave the organization, or it stops paying for the Organization plan, we’ll email you, and your plan moves to the standard Individual price at your first renewal at least 30 days after that email. If you rejoin before then, nothing changes. Switching between monthly and yearly while a change is pending moves you to the standard price right away, because you are choosing a new price. You can cancel at any time before the change.

Failed payments. If a payment fails, we’ll email you and try again. If it still can’t be taken, your plan may move to Free.

Moving to Free. Nothing is deleted. You choose one project to keep working on; the others become read-only until you upgrade again.

Remote Stream hours. Hours for watching cameras over the internet are bought monthly or once. They don’t expire, they stay with your account if you move to Free, and they aren’t refundable or exchangeable for money.

Your content

What you create and upload (frames, plans, scripts, schedules, files and comments) stays yours. You give us permission to store, process, copy and display it only as needed to run the service for you and the people you share it with, and to make backups.

You confirm you have the rights to what you upload, and permission to add other people’s details (for example, crew and cast contact information) and to send them call sheets.

In an organization, the organization controls its projects: its admins decide who has access, and the projects stay with the organization if a member leaves. Comments you made in shared projects stay there, under your name, if you delete your account.

Acceptable use

Don’t use ProProduction to:

  • break the law, or infringe anyone’s rights, including copyright and privacy;
  • upload anything harmful, such as malware, or content that sexually exploits anyone;
  • harass people, or send call sheets or messages to people who haven’t agreed to receive them;
  • get into accounts, projects or systems you aren’t allowed into, or test our security without our written permission;
  • overload, disrupt or reverse-engineer the service, or scrape it automatically;
  • resell the service, or share one account between several people to avoid paying for seats.

On-set tools

Camera control, the live board, timings, weather, the nearest hospital and directions help a production run; they don’t replace the people responsible for it. Always check that your cameras are actually recording and that media is safe. Weather, maps, routes and hospital information come from third parties and may be wrong or out of date; in an emergency, call emergency services. Using camera control with your equipment is at your own risk, and you’re responsible for your equipment and your set’s safety.

The Camera Agent and the Mac app look for cameras on the network you run them on. Run them only on networks and with equipment you’re allowed to use.

Needs Crew, contracts and signatures

Needs Crew. Producers can post open positions, and people who asked for job emails can apply for them. ProProduction isn’t the employer, an agency or a party to any job. We don’t check who posts or who applies, and we don’t guarantee that a job, a rate or a person is what they say. Producers are responsible for their hiring decisions, for paying people, and for posts that are real, accurate and lawful. Don’t use Needs Crew to collect people’s details, to post jobs that don’t exist, or to discriminate unlawfully.

Contracts. ProProduction doesn’t write or review contracts. Producers upload their own and are responsible for what they say.

Electronic signatures. When you sign a document in ProProduction, you agree that your typed or drawn signature has the same effect as signing on paper. We keep a record of each signature with the signed document. If a law or the other party requires a different way of signing, use that instead.

Other services

Parts of ProProduction rely on other companies, such as Stripe for payments, Cloudflare for hosting and video, map and weather services, and Anthropic if you use AI features with your own key. Their own terms may apply to that use, and we aren’t responsible for their services.

Changes and availability

We’re always improving ProProduction, so features may change. Features marked beta may be incomplete. We aim to keep the service available but can’t promise it will always be, or that it will be free of errors. We’ll give reasonable notice before removing anything significant from a paid plan.

Ending your use

You can stop using ProProduction and delete your account at any time. We may suspend or close an account that breaks these terms, puts others at risk, or hasn’t paid, and where we can, we’ll tell you first and give you a chance to download your work. The sections on content, disclaimers, liability, disputes and anything else meant to last will continue after an account ends.

Disclaimers

The service is provided “as is” and “as available”. To the extent the law allows, we disclaim all warranties, including that it will be fit for a particular purpose, uninterrupted or error-free, and that content will never be lost. Keep your own copies of anything important; project archives and downloads are there for that.

Limit of liability

To the extent the law allows, ProProduction is not liable for indirect, incidental, special or consequential losses, or for lost profits, revenue, data, footage or shooting days, even if we were told they might happen. Our total liability for any claim about the service is limited to the greater of the amount you paid us in the 12 months before the claim and 100 US dollars. Some places don’t allow these limits, so they may not all apply to you.

Responsibility for claims

If someone makes a claim against us because of your content or your breach of these terms, you agree to cover the reasonable costs and losses that result, to the extent the law allows.

Governing law and disputes

These terms are governed by the laws of the State of Tennessee and of the United States, without regard to conflict-of-law rules. Any dispute about them or the service will be heard only in the state or federal courts located in Davidson County, Tennessee, and you and we consent to those courts. Before going to court, please email us so we can try to resolve it.

Changes to these terms

We may update these terms. We’ll change the date at the top, and if a change matters we’ll tell you by email or in the app at least 30 days before it takes effect. If you keep using ProProduction after that, you accept the new terms; if you don’t, you can cancel before then.

General

These terms, with the Privacy Policy, are the whole agreement between us about the service. If part of them can’t be enforced, the rest still applies. If we don’t enforce something right away, we haven’t given up the right to. You can’t transfer this agreement without our consent; we may transfer it if the service changes hands.
